5 HINTS FOR THE ASSERTIVE COMMUNICATION

Communicating is a natural activity of the human being and a necessity. Through the communication we are connected, work, express feelings, learn and teach, finally: we live. However, to communicate in the assertive form is an art.
See down five hints for an assertive communication in the work and in the social relations.

1. KNOWLEDGE - knows what he is going to speak, before going out uttering words and gestures. Persons who insist in " I find " they become discredited in a little time. It fails on what you know or have experience, even when it will be an opinion.

Seven lessons to grow in the adversities:

1. We will always have problems. At sometimes they will be bigger, in other smaller, but always they will exist.

2. The form as we deal with the problems is what makes difference. You can be invited to administer an organization due to the way as you manage your life. Companies need centered, focused persons with skills to deal with the adversities that appear every day, in the most varied manners.

3. Do not count his problems for any one. Most of the persons do not mind and others are happy with somebody's unhappiness. It is not good for your personal marketing that people know about your difficulties, mainly financial problems.

4. Believe that the problem could be solved. Do not give up, fight, intend and look in all the manners for a way of deciding or easing.


5. If a problem has solution, do not suffer and do not be worn away by him, at last he can be resolved. However, if you try to solve and without success, do not suffer, assume the consequences and follow in front.


6. Independent of which is the problem, the weight of his consequences will lessen and, when that to happen, you will feel more prepared and strengthened.

7. Everybody already heard about Davi, which defeated the giant Golias. Davi was small, skinny, a man apparently weakly if compared to others. Meantime, he had a deep relationship with God, always looking for his direction, wasn't taking attitudes without his direction and had much conviction that would never be left.

Hi, Bianca. How are you doing? I miss you so much!
Maybe you´ll receive two letters from me because, here in Brazil, there was one period of postal strike.
I have some news. I am very happy because I am almost finishing my graduate for executive secretary and I will be ready to be promoted at my work. I do not know if it will happen but I have faith that good things will happen. Days have been difficult because I have studied all weekends, but I am sure the days of harvest is coming. I need to invite you for my graduation that will happen at the beginning of 2010. Please do not forget to schedule this on your agenda. I hope all of your family can be there.

Code of Ethics for Company Secretaries

In the performance of his duties, a company secretary should always observe the following codes:

i) Strive for professional competency and at all times exhibit a high degree of skill and proficiency in the performance of the duties of his office;

ii) At all times exercise the utmost good faith and act both responsibly and honestly with reasonable care and due diligence in the exercise of his powers and the discharge of the duties of his office;

iii) At all times strive to assist the company towards its proper objectives within the tenets of moral responsibility, efficiency, and administrative effectiveness;

iv) Have a clear understanding of the aims and objectives of the company, and of the powers and restrictions as provided in the Memorandum and Articles of Association of the company;

v) Be knowledgeable of law of meetings, meeting procedures, particularly quorum requirements, voting procedures and proxy provisions and be responsible for the proper administration of meetings;

vi) Neither direct for his own advantage any business opportunity that the company is pursuing, nor may he use or disclose to any party any confidential information obtained by reason of his office for his own advantage or that of others;

vii) Adopt an objective and positive attitude and give full co-operation when dealing with governmental authorities and regulatory bodies;

viii) Disclose to the board of directors or an appropriate public officer any information within his knowledge that he honestly believe suggests that a fraud is being or is likely to be practised by the company or by any of its directors or employees;

ix) Limit his secretaryship of companies to a number in which he can best and fully devote his times and effectiveness;

x) Assist and advise the directors to ensure at all times that the company maintains an effective system of internal control, for keeping proper registers and accounting records;

xi) Be impartial in his dealings with shareholders, directors and without fear or favour, use his best endeavours to ensure that the directors and the company comply with the relevant legislations contractual obligations and other relevant requirements; and

xii) Be present in person or ensure that in his absence he is so represented at the company's registered office on the days and at the hours that the office is accessible to the public;

xiii) Advise the board of directors that no policy is adopted by the company that will antagonise or offend any stakeholders of the company;

xiv) Be aware of all reporting and other requirements imposed by the statute under which the company is incorporated; and

xv) Be present or represented at meetings and do not allow himself or his representative to be excluded or withdrawn from those meetings in a way that prejudices his professional responsibilities as secretary of company.

THE SECRETARY'S PRAYER

DEAR LORD, HELP ME TO DO MY WORK WELL, TO HAVE THE MEMORY OF AN ELEPHANT (supposedly elephants never forget) AND BY SOME MIRACLE TO BE ABLE TO DO FIVE THINGS AT ONCE - ANSWER TWO TELEPHONE CALLS, GREET A GUEST, FIND A FILE, ALL WHILE TYPING A LETTER THAT "MUST GO OUT TODAY." WHEN THAT LETTER DOESN'T GET SIGNED UNTIL TOMORROW, PLEASE GIVE ME THE STRENGTH TO KEEP MY MOUTH SHUT.
DEAR LORD, NEVER LET ME LOSE MY PATIENCE, EVEN WHEN THE BOSS HAS ME SEARCHING FILES FOR HOURS FOR A REPORT THAT IS LATER DISCOVERED ON HIS DESK.
GIVE ME THE INTELLIGENCE OF A UNIVERSITY PROFESSOR, ALTHOUGH MY EDUCATION IS LIMITED TO ONLY A DIPLOMA OR A UNIVERSITY DEGREE LOWER THAN MY BOSS'S, AND EVEN IF I HAVE NOT HAD ANY FORMAL SECRETARIAL TRAINING.
HELP ME TO READ HIS MIND, TO DECIPHER HIS HANDWRITING, AND TO CARRY OUT ALL HIS INSTRUCTIONS WHICH ARE OFTEN GIVEN WITHOUT ANY EXPLANATION.
LET ME ALWAYS KNOW EXACTLY WHERE MY BOSS IS AND WHEN HE'LL BE BACK, EVEN THOUGH HE MAY NEVER TELL ME WHERE HE IS GOING. AND LET HIM KEEP HIS MOBILE PHONE OR PAGER ON.
AND LORD, WHEN THE YEAR ENDS, PLEASE GIVE ME THE FORESIGHT NOT TO THROW OUT RECORDS THAT WILL BE ASKED FOR IN A COUPLE OF DAYS, EVEN THOUGH I WAS TOLD EMPHATICALLY, "DESTROY THESE - THEY ARE CLUTTERING UP THE PLACE."
I ASK THESE BLESSINGS, IN THE NAME OF SECRETARIES EVERYWHERE. AMEN.

Successful negotiations in English

There will be many occasions in which you might find yourself having to negotiate with an English-speaking person in business: to ask for a pay rise or promotion, to get the best possible deal from your suppliers, or even to make social arrangements with your colleagues.Ideally, in any negotiation, you can give the other party what they want, and they can also give you what you want. But in some situations, one person has to compromise and will probably try to negotiate something in return. The important thing is that both parties feel happy with the final outcome: a "win-win" situation.
Although some negotiations are more "important" than others, there are some useful phrases you can use at different stages of the negotiation to make your position clear and to make sure that the other party are in agreement with you.

Preparation for the negotiation
It goes without saying that the better prepared you are, the more likely you are to get what you want. Think about your goals – as well as those of the opposing party – to make sure you are clear about what you want. What can you trade with the other party? Do you have any alternatives that are acceptable to you? If you can also work out possible solutions, then it is easier to find an acceptable outcome. Finally, you should be clear about your "bottom line": the point at which you can offer no more. In rare cases you may even have to be prepared to walk away from the negotiation if you reach a stalemate: a position from which it is impossible to negotiate any more.

Starting and outlining your position
I'd like to begin by saying…I'd like to outline our aims and objectives.There are two main areas that we'd like to concentrate on / discuss.

Agreeing
We agree.This is a fair suggestion.You have a good point.I can't see any problem with that.Provided / As long as you….. we will….

Disagreeing
I'm afraid that's not acceptable to us.I'm afraid we can't agree with you there.Can I just pick you up on a point you made earlier.I understand where you're coming from / your position, but…We're prepared to compromise, but…If you look at it from our point of view,…As we see it…That's not exactly as we see it.Is that your best offer?

Clarifying
Does anything I have suggested / proposed seem unclear to you?I'd like to clarify our position.What do you mean exactly when you say….Could you clarify your last point for me?

Can we summarise what we've agreed so far?Let's look at the points we agree on.So the next step is…

Language points
During a negotiation, you're likely to hear "if" sentences, as the negotiation moves from the stage of exploring issues to the stage of making a deal.
If you increased the order size, we could / would reduce the price. (2nd conditional – exploring the issue)So, we'll reduce the price by 5% if you increase the order by 5%. (1st conditional – making a deal)
You might also hear "unless" (=if not), "as long as" and "provided (that)" instead of if:
As long as you increase your order, we can give you a greater discount.Unless you increase your order, we won't be able to give you a bigger discount.Provided you increase your order, we can give you a bigger discount.
